Why the generic answer fails here

A school office runs on an accumulated set of practices that work. New software has to be faster than those practices from the first week, not after a training period, because during term nobody has slack to absorb a temporary slowdown. Systems that are slower initially get worked around, and the workaround becomes permanent.

Almost every school we have worked with has bought management software at least once, and a large proportion are using a fraction of what they paid for while the real work happens in parallel spreadsheets.

The cause is rarely the feature set. It is that the system was slower than the practice it replaced at the moment it was introduced, during term, when the office had no capacity to absorb that. Staff reverted, the parallel process became permanent, and the software became a place where data is entered afterwards.

So the design constraint that matters most is speed of the common case. Admitting a student, recording a fee, marking attendance and entering marks are done hundreds of times a week, and each has to be faster than the paper or the spreadsheet from day one.

Fees, which is where the value concentrates

Fee management is the module that justifies the system for most schools, because it touches money, it is reconciled constantly, and it generates the largest volume of parent interaction.

The requirements are unglamorous. Fee structures that differ by class, by category and by concession, with the concessions recorded and approved rather than applied informally. Instalments and due dates. Part payments. Late fees that can be waived by someone with authority, logged. Receipts that reconcile to the bank without manual matching.

The reporting that matters is outstanding by class and by student, aged, available at any moment rather than compiled before a management meeting. Most schools can tell you total outstanding and cannot readily tell you which families, which is the information that would let them act.

And parent-facing payment, because the largest single administrative cost in most school offices is the handling of fee collection: queues, cash, receipts and reconciliation. Moving even half of collections online removes a substantial part of that.

Rolling out during term without breaking the office
